Studio Expectations, Terms & Conditions

In order to minimise risk to the business, to comply with the industries best practice and to protect you it is important for us as a studio to have very specific terms and conditions in place. This is standard practice for Pilates studios in the UK. You will be asked at every point of sale to tick a box confirming you agree to these terms and conditions outlined below.

The studios terms and conditions have been written in conjunction with an industry specific legal advisor. It is important to understand that in the event of a dispute, your signature and purchase will be used as confirmation that you were aware of and agreed to abide by our studios terms.

OUR promise to you
  • All classes will be run by a fully qualified teacher

  • All teachers will have a valid first aid certificate

  • The studio will have the correct level of insurance in place.

  • The studios equipment is of the highest industry standard and will be maintained regularly.

  • We will ensure that you know how to use the equipment safely. 

  • The studio and it's facilities will be kept clean and tidy at all times.

  • We endeavour to keep time well, however on the rare occasion sessions may run over or start late.

  • We will always bring a positive energy to our classes.

  • If we are unable to work with your injury/pathology we will let you know and help you find someone else to support you.

  • You will be advised and directed to the most appropriate class for you that is available.

What we expect from you
  • ​To arrive no more than 5 minutes before your appointment.

  • To ensure everyone's enjoyment and your safety if you are 10 minutes late, we are sorry but you will not be able to join the class.

  • Be respectful of other participants by waiting quietly before your class/session and not talking in our group classes

  • Be respectful of the studios team at all times - If you have any complaints please speak directly with studio owner Stacy Weeks.

  • If you are unwell we kindly ask you not to come to class - if you have to cancel within the 24 hour cancellation window you will receive a recording of the online mat class to keep you moving.

  • To wear appropriate clothing and support wear to exercise

  • Shoes are not permitted outside the waiting area.

  • Clean and unworn grip socks are required for class at all times.

  • Please bring minimum belongings with you.

  • Please clean your equipment with the cleaning sprays provided after your class/session 

  • Chewing gum or eating food in the studio is not permitted.

  • Please come with an open mind and a willingness to move.

Cancellation Policy

In Person Classes & 1:1 Studio Sessions

  • In order to minimise risk to the business all appointments/classes are subject to a strict 24 hour policy. Classes cancelled within 24 hours, and no shows, are fully chargeable as if you attended the session. Stacy Weeks/The Cornwall Pilates Studio is not responsible for your failure to attend a class.

  • No refunds will be given.

  • You may reschedule your class/appointment online up to 24 hours before (IE if your appointment is at 9am Friday, you have up until 8.59am on the day before to cancel).

  • Clients are responsible for booking and managing their own classes/sessions via the booking system. There is a link in all confirmation and reminder emails to do this.

  • If you have to cancel within the 24 hour window for your group class (mat/reformer/tower) we will send you a recording of that weeks online mat class to access for 7 days.

  • If you have to cancel within the 24 hour window for any other class on the timetable we will send you a sequence video from our online Studio library.

  • If you have to cancel within the 24 hour window for your 1:1/duet studio session in person we will send you a zoom link and work with you online. If you are unable to work online we will send you a video from our online Studio library.

  • All classes may be subject to change/cancellation at any time. If you are not booked in to a class you will not receive a cancellation message.

​Duet Sessions

  • The full amount of the session is to be paid for in advance clients are responsible for sharing the cost between them.

    • Please book your session with a friend who is of similar ability so you both benefit from this class.

    • If you have no one to share with, the studio may be able to pair you up with a suitable person to share your session, but this is not guaranteed.

    • If you book a private apparatus session and decide to bring a friend, you must notify the studio as soon as possible and pay the outstanding amount at your session, by card or cash​

Online Classes
  • Stacy Weeks/The Cornwall Pilates Studio is not responsible for your failure to attend a class.

  • Stacy Weeks/The Cornwall Pilates Studio is not responsible for your failure to update your computer/device/Zoom application.

  • All classes are subject to a strict 24 hour policy - You may reschedule your class/appointment up to 24 hours before (ie if your appointment is at 9am Friday, you have up until 8.59am on the day before to cancel). Classes cancelled within 24 hours, and no shows, are fully chargeable as if you attended the session.

  • You will receive the online recording of the class and have access to view only for 7 days.

  • If you are not booked you will not receive a link to join the class.

  • If you are not booked in you will not receive the recording to view.

  • You will still receive this recording if you have booked in and are unable to attend in person.

  • All classes may be subject to change/cancellation at any time. If you are not booked in to a class you will not receive a cancellation message.

  • Clients are responsible for booking and managing their own classes/sessions.

  • No refunds will be given

 

Client Accounts & Studio Attendance
  • All clients are responsible for managing their own accounts.

    • Stacy Weeks/The Cornwall Pilates Studio is NOT responsible for maintaining or managing your account.

    • Stacy Weeks/The Cornwall Pilates Studio is NOT liable for mistaken payments, unmanaged accounts, a change of heart/mind or accidental purchases.

    • If there is an error on your account please contact stacy@stacyweeks.co.uk as soon as possible

    • All classes are subject to a strict 24 hour policy - You may reschedule your class/appointment up to 24 hours before (ie if your appointment is at 9am Friday, you have up until 8.59am on Thursday to cancel).

    • All classes may be subject to change/cancellation at any time. If you are not booked in to a class you will not receive a cancellation message.

    • All classes cancelled by the studio will return to your booking system account. The expiry date will be extended by 1 week.

    • All classes (group, private, duets, referrals and workshops) must be paid in advance.

    • All classes are booked on a first come, first serve basis.

    • All single purchase classes, workshops and subscriptions are non refundable.

    • Single classes can be rescheduled up to 3 times. After that the class is no longer valid for use and repurchase is required.

 

Refunds
  • The studio has a strict no refund policy and is not responsible for accidental purchases, clients changing their mind and clients not managing their own accounts.

    • In the event that a refund is granted (exceptional circumstances only) the classes taken revert back to the original price of a single class and will be subject to an administrative charge; ie. If a package of classes/sessions has one remaining, the classes taken will revert to the single class/session price. That figure will be subtracted from the price paid for the package. Any remaining credit will be refunded to the card used for the original purchase minus the *admin charge.

      • *Please note the admin charge will vary per transaction. This takes into account the transaction amount and cost to the business for taking this payment via our external payment processor (Stripe) and the time taken to investigate the matter. Our external admin charges the business £25-30 per hour and this will be factored into the refund admin charge.

      • Please also note it may take up to 10 working days for this to appear in your account.

 
Subscriptions, Purchases & Packages

Subscriptions

  • Clients have 14 days after the subscription is setup in which to cancel the subscription.

    • If a subscription is cancelled within the first 14 days of setup a refund will be granted minus any classes that have already been attended.

    • After 14 days subscriptions to classes at the studio are subject to our terms and conditions.

    • Subscriptions payments are monthly.

    • Stacy Weeks/The Cornwall Pilates Studio is NOT responsible for your failure to attend a class within your subscription validity, a variety of classes and sessions are run weekly.

    • Subscriptions are for clients who attend a minimum of one class a week and are flexible as to what classes they attend.

    • Unlimited Reformer - You may attend as many classes as you like per month. Stacy Weeks/Seven Bays Studio is not responsible for your flexibility to attend different classes. There are a minimum of 4 classes running weekly.  A minimum of 7 classes per month is guaranteed, any classes cancelled by the studio within a monthly subscription will not affect your payment date because how many you attend above our minimum guarantee is your responsibility.

    • Once purchased you must book your sessions on the studios online booking calendar. If you don't book in advance you may not get your preferred class or time.

    • You can change the payment details of your subscription at any time.

    • You can change the date of payment of your subscription by contacting the studio.

    • Subscriptions can be cancelled at anytime, however any classes taken over your allowance will be billed at the full class rate.

    • Subscriptions with classes outstanding will not be refunded.

    • If you cancel your subscription, you will be able to use the outstanding amount of minutes up until the next billing cycle would have been due.

    • Please check with your bank as payment cancellations may take up to 5 working days. If a payment is cancelled within this time, your account may be debited

    • Classes cancelled within 24 hours, and no shows, are fully chargeable.

    • Subscriptions to the studio are for specific class types outlined within the description in you account and are non transferable/non refundable.

    • Each subscription has a specific number of classes attached to it annually.

    • Subscriptions will be taken from the account you have designated every month

    • We are unable to specify a subscription date.

    • We can pause your subscriptions for you if you are injured or sick.

Packages

  • All packages have an expiry date classes/sessions must be taken within that period.

  • Stacy Weeks/The Cornwall Pilates Studio is not responsible for your failure to attend a session within your packages validity.

  • Once purchased please book all of your appointments on the online booking calendar.

  • You can reschedule your appointments up to 24 hours before your appointment and within the packages validity.

Disclaimer & Liability
  • A purchase booked with The Cornwall Pilates Studio is an agreement to participate in a class/session and a declaration that there are no reasons as to why you cannot/should not attend at this time.

  • PARQ - A Physical Activity Readiness Questionnaire is required by law and for insurance purposes. You will be required to complete this prior to attending your first session, and on the anniversary of your first attendance thereafter.

  • The studio is not responsible for your safety and wellbeing in a class/session for any injuries and pathologies that have not been declared

  • Every spring in the studio is checked for wear and tear regularly but we have to point out that spings do break occasionally and this may cause some harm.

  • ​

  • There are risks involved in physical exercise and by booking a class you agree to participate in our classes & sessions.

    • Online: Your body cannot be physically corrected online and therefore by booking a class you are taking full responsibility for your own movement decisions, ensuring that the space you are using is large enough for you to move in and free from hazards that could be dangerous to you.

    • In Person & Online: You agree to follow the teachers directions at all times and take responsibility for your own body and movement decisions. You will indicate discomfort to the teacher immediately and omit certain movements if they do not feel beneficial to your body. Your body maybe requiring physical correction, please inform the studio should you not wish to be physically corrected.

  • You participate in classes/sessions at your own risk.

  • COVID 19 & Infectious diseases - The studio is not responsible for you catching COVID 19 or any other infectious disease.

    • Please note in the event of a local or national lockdown all appointments/classes/sessions will move online via Zoom and no refunds will be given.

    • The apparatus at the studio is potentially harmful and teachers may need to correct your body or assist you to ensure your safety and cannot be held responsible for transmission of COVID 19.

Complaints procedure
  • Please direct any complaints to studio owner Stacy Weeks either in person or via email.

  • We will investigate your complaint and respond within 5 working days.
